The information we hold

We only hold information that you have given to us when you registered your child/children, and completed the medical form. This includes:

Full name of one or both parents of the child registered;

Phone number of one or both parents of the child registered;

Email address of one or both parents of the child registered;

Full name of the child/children registered;

School name of the child/children registered;
-
Date of birth and school year of the child/children registered;
-
Details of any allergies;
-
Doctor’s name and address.
This data allows us provide the services detailed on our website and in the case of medical details, we collect this for the protection of the children in our care. We do not share, sell or exchange any of your details with other organisations.
How your information is stored
The data from the registration form you complete is collected via Google forms saved onto Google spreadsheets and then stored on Google drive. Medical details emailed to us is saved in Google drive. Medical forms given in printed form are scanned and saved in Google drive. The paper copy is destroyed securely.
Only the Director of Learntree Ltd, Mrs Ebiere Bolu, and the Off-Site Manager currently has access to Learntree’s Google Drive account and has not shared it with any other person or party.
There are no printed records of the registration forms. However a printed list of names, contact numbers and dietary requirements of each child is kept on site for easy access during Learn Tree after school sessions.
How we use your information
We only use your personal information where it is permitted by the laws that protect your privacy rights. We only use your personal information where:

We need to use the information to comply with our legal obligations;

We need to use the information to contact you regarding the service you have registered your child/children for.

It is fair to use the personal information in your interests, where there is no disadvantage to you – this can include where it is in our interests to contact you about new services we offer

The processing is necessary for you or your child’s/children’s legitimate interests or the legitimate interests of Learn Tree unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests.
Your data will be stored for as long as your child/children is attending Learn Tree After School Enrichment or if they stop attending the club within a given school year, we will only hold their data till the end of the school year for which they were registered.
Your rights.
You have the right:

To object to how we process your personal information;

to access, correct, sometimes delete and restrict the personal information we use;

to complain to the ICO if you think there is a problem with the way we are handling your data;

to be informed i.e. to know how your data will be used by Learn Tree;

to access your personal data. You can ask us to share with you the data we have about you;

to rectification – this just means you can ask that your details be updated if it is inaccurate or if something is missing;

to erasure – this means that you have the right to request that we delete any personal data we have about you. There are some exceptions, for example, some information can be held for legal reasons;

to restrict processing – if you think there’s something wrong with the data being held about you, or you aren’t sure if we are complying to rules, you can restrict any further use of your data until the problem is resolved;

to data portability – this means that if you ask us we will have to share your data with you in a way that can be read digitally – such as a pdf.

Not to be subject to automated decision making and profiling – this protects you in cases where decision are being made about you based entirely on automated processes rather than a human input.

Security
The security of your data is very important to us, and we are committed to ensuring your personal information is both respected and protected.
You should bear in mind that submission of information over the internet is never entirely secure. We cannot guarantee the security of information you submit via the Website whilst it is in transit over the internet and any such submission is at your own risk.

It is advisable to close your browser when you have finished your user session to help ensure others do not access your personal information if you use a shared computer or a computer in a public place.
